How To Export Confluence Pages and Spaces

Confluence uses spaces to group material into useful categories. Consider them as several folders where you could keep your work.

You can create a personal space for yourself and each Confluence user, which you can either keep private or make public so that other users can read and update the information. The space directory includes both personal and common areas. Personal areas are also available in the people directory and in your user profile. Now let’s see how we can export these confluence spaces and pages.

Confluence Page Export

To export pages to HTML, XML, or PDF:

  1. Choose Space tools > Content Tools from the sidebar at the bottom of the space.
  2. Choose Export
  3. Choose Next after selecting either HTML, XML, or PDF.
  4. Choose the export category:
    • Normal Export (HTML and PDF) – With the Normal Export (HTML and PDF) option, you can create an HTML or PDF file that ONLY contains the pages that you are authorized to access.
    • Full Export (XML) – creates an XML file that contains every page in the space, even those that you are not authorized to view.
    • Custom Export – If you only want to export a subset of pages or want to omit comments from the export, use Custom Export.
  5. Decide whether or not to use page numbers (PDF only)
  6. Choose Export.

When the export process has finished, you can download the zipped archive or PDF.

Confluence Space Exports:

To export a space or selected pages to PDF:

  1. Choose Space Tools > Content Tools from the sidebar by going to the space.
  2. Choose Export. Only if you have the “Export Space” permission will you see this option.
  3. Choose PDF, then click Next.
  4. Choose whether or not you need to modify the export:
    • To create a PDF file with all the pages that you are authorized to read, choose Normal Export.
    • If you only want to export a portion of the pages, choose Custom Export.
  5. Select the pages you want to export.
    • You can choose to pick or deselect every page.
    • All of a page’s child pages will likewise be selected when you select one. Similar to selecting a page, deselecting a page also deselects all of its children.
  6. Choose Export.
  7. Download the file after the export process is complete.

If your space uses the Documentation theme:

  1. Go to Space Operations.
  2. Choose PDF Export from the option on the left.
  3. To export the Space, adhere to the directions above.

To export to XML:

  1. Select the content tools by going to a page in the space tool.
  2. Choose the Export tab.
  3. Choose whether or not you need to modify the export:
    • Choose Complete Export to create an XML file that contains every page in the space, even ones that you are not authorized to view.
    • If you wish to export only a portion of the pages or exclude comments from the export, choose Custom Export.
  4. If you want to include comments made on the pages you are exporting, choose Include Comments.
  5. You can export only the pages you choose.
    • Choose All and Deselect All Pages are both options available to you.
    • A page’s children’s pages are also selected when you select one. Likewise, deselecting a page will deselect all of its children.
  6. Click Export. This will create a zipped archive of XML files.
  7. When the export process has finished, download and save the zipped archive file as prompted.

The user can browse the document offline and share it with other teams without worrying about the permissions granted by using Confluence Space or page export. Also, the confluence space export is a very useful tool for transferring confluence data between instances.
